The meeting was called to order at 7:15 pm.

Minutes
Minutes from the April 11, 2006 meeting were distributed and read.  The April minutes stated that the Olympic Training Fund account was being closed in May.  Bill said that the Olympic Training Fund account will remain open pending further discussion by the Board.  There being no other corrections, the minutes were approved as amended.

Treasurer’s Report
The Treasurer’s report was distributed and explained.  We have $12,151.52 in the checking account, $16, 653.06 in the Money Market account, $90,000.00 in the 10 month CD, and $0.00 in the Olympic Training Fund.    We still have several sponsor fees and ad fees that have not been collected.  Kathy will bill those teams and companies.  There being no corrections, the Treasurer’s report was approved. 

Virginia Duals Wrestling Club
The Spring Session is going good.  We had 12 kids place at Kids & Cadets States last weekend, with 4 Champions, 4 Runner-ups, 3 Third Placers and 1 Fourth Place.  We had 2 ladies in the club won titles this weekend in a Women’s National event.

Mike will have to gauge the interest among the kids with regards to making the trip to Greenville, South Carolina for Southeast Regionals at the end of the month.  It will be the last chance for Cadets to qualify for Fargo.

2007 Duals
We need a new Tournament Director.
Other than that, everything is moving smoothly.  The NCAA National Duals are the same weekend again.  We have already gotten commitments from our announcers and most of our college officials, so the conflict will not hurt us in those areas.

Contracts have been come in from 8 colleges - Arizona State, Kent State, Anderson, the Apprentice School, Edinborough, Bloomsburg, North Dakota and Drexel.  They are due by the end of the week.

New Business
Pre-printed ballots listing the Nominating Committee’s slate of Officers and Directors were distributed for the PWA annual election.  Bill asked for any additional nominations from the floor, and announced that write-ins would be allowed.  There were no nominations from the floor.  When the ballots were returned, the Secretary tallied the ballots.  All candidates were unanimously elected.

The next PWA meeting will be held at 7:00pm on Tuesday, June 13th at Poquoson Middle School.

Treasurer’s Report
The Treasurer’s report was distributed and explained.  We have $9,679.21 in the checking account, $16, 642.12 in the Money Market account, $90,000.00 in the 10 month CD, and $300.00 in the Olympic Training Fund.  The Olympic Training Fund account is being closed, as of this month.  We still have several sponsor fees and ad fees that have not been collected.  Kathy will bill those teams and companies.  There being no corrections, the Treasurer’s report was approved. 

Virginia Duals Wrestling Club
Registration and practice started on March 21.  We have 39 kids signed up so far.  Practice is from 6:30 to 8:30pm on Tuesdays and Thursdays until May, at which time we will add another practice on Wednesday nights from 6:30 to 8:30pm.  Cost for the Spring Session will be $65 (USA card not included). 

We plan on taking some of our kids to FILA Nationals this year.  We will pay to rent a van and cover the coaches’ expenses for the trip.  We also give $200 to each member who qualifies and wrestles at USA Freestyle and Greco Nationals in Fargo in July.

John discussed the club position discouraging massive weight-cutting and some of the long lasting health consequences for people who did a lot of weight-cutting when they were young.  He encouraged parents to help their wrestlers to follow healthy eating programs.  He also discussed ways to prevent and control the spread of skin infections.

New Business
John distributed the Nominating Committee’s slate of Officers and Directors for next month’s election.  Nominations will also be accepted from the floor at the May meeting.

Next Meeting
The next PWA meeting will be held at 7:00pm on Tuesday, May 9th at Poquoson Middle School.

2006 Virginia Duals
The 2006 VA Duals were a great success.  We got a lot of very positive feedback.  We cleared $35,490.94 from ticket sales, which was an increase over last year.  The ticket prices will remain the same for 2007.

Web Site
The website was very helpful, in getting the list of teams in each division, and the seedings and schedule up.  Next year, we hope to be able to have the rosters submitted online.

Virginia Duals Wrestling Club

We were not able to get the rosters submitted online, but we were able to get the list of teams in each division, and the seedings and schedule up.

VA Duals Committees
All committees are covered, and everything is set for the Duals.  We have a new Security crew in place, and a new security plan for the Finals.  In order to cut down on the number of people on the floor during the Final Round, a unique armband will be given to the people who need to be on the floor at that time.  Anyone without the proper armband will not be allowed to go down the stairs during the Finals.

Press Conference
The Press Conference was very successful.  It was held at ODU on December 14th, at 11:00am.   Doug Roper, of Tabb High School, Norm Smith, of Great Bridge, Steve Martin, of ODU, and Jason Bryant, our webmaster, participated.  

VIPs
Robert Shuford and George Fiscella will be our Grand Marshalls.  We will mark off a couple of rows as seating for them, and our other VIPs.  They will need a separate VIP pass, as well as the armband, in order to enter the VIP seating area.

Brackets
Bracket sheets for each division were distributed.  They show the sponsor for each division, the seeding of all the teams, and also the time each dual meet will take place.  The National College Tournament is sponsored by Asics.  The American College Division is sponsored by W. M. Jordan.  The National High School Division is sponsored by Cliff Keen Athletic.  The American High School Division is sponsored by Virginia Enterprises, Inc. and the Black and Blue Division is sponsored by Newport News Shipbuilding Credit Union.

College Teams
All college contracts have come in.  We still need sponsors for four more college teams.

High School Teams
All high school contracts have come in.  Most of the entry fee payments and the sponsor payments have already come in.  The deadline is this week. 

Middle School Teams
We will have four middle school teams – the VA Duals team, the Virginia Challenge team, the South Jersey Wrestling team, and Tyrant Wrestling Club, a team from Delaware.  Dave Robinson and Mike Casey have put together the VA Duals team, which will be coached by our club coaches. 

Hotel Contracts
Hotel Contracts are in. 

Food Donations
We need food donations to be brought to the Coliseum on Thursday.

Clocks
Our new clock has arrived.  We will use it for the Duals and then decide whether to keep it or send it back.  Jim has borrowed clocks from Northern Virginia.  They will need to be returned after the Duals are over.   

Table Worker Training
Table worker training was conducted at the Poquoson Library on January 5th and January 9th

Mike Dixon gave a review of the Fall Session.  We had 5 or 6 elite kids, but the rest of them need a lot more work.  They need to get in about 120 matches a year, in addition to the high school season.  We want to have a lot of kids to qualify for Nationals in Fargo in the Spring.

Our website provider has not given us access to some of the things we need, so we are not yet able to do some of the things we want to do online.  We are not going to be able to get the rosters submitted online.  We should be able to get the seedings and schedule up.

November 8, 2005

Fall Session Update
We had three kids who placed at the Super 32 and five kids who did really well.  Marshall Robinson got 3rd in the 8th Grade division.  The Tabb kids did very, very well.  David Wise took 4th, Andrew Williams took 5th, Cabanas did well, and Canning got farther in the Championship rounds than anyone else, but then he lost twice very quickly.

Wrestling Clinic
We held a free wrestling clinic for wrestlers aged 9 and older at the Poquoson Wrestling Room on October 15, 2005 from 1:00pm to 3:30pm, and only six people showed up.  Apparently, we need to give everyone more advance notice if we want to have a successful clinic.

Virginia Duals Wrestling Club
John spoke at length about his concerns regarding the direction the club seems to be going and the fact that the coaches want to focus on the high school kids.  John believes that we need to focus more on the younger kids.  He thinks we need more assistant coaches in the room, and wants to let them concentrate on the younger kids.  He talked about how many local high schools are staying at their own school and working with their own team and coaches, rather than coming to PWA.  Grafton is staying together, Gloucester is mostly staying together, Tabb is even doing some stuff on their own, in addition to coming here.  We do not have a single Poquoson kid on the entire team.   Most of these other groups are working on Folkstyle year-round, rather than doing anything in Freestyle.

VA Duals Committees
Rob Rollins still has not moved out of state, so he has agreed to serve as Chairman of Security again.  He and Jim are discussing changes in the way things are handled for this year.  Now, all committees are covered.

Press Conference

Fall Session Update
Things are going pretty good.  We typically have about 22-24 on Tuesdays and a few less on Thursdays.  We have 15 kids who have registered for the Super 32.  Hotel rooms have been reserved for the Super 32.

Wrestling Clinic
We will hold a free wrestling clinic for wrestlers aged 9 and older at the Poquoson Wrestling Room on October 15, 2005 from 1:00pm to 3:30pm. Clinicians will include Steve Martin, Lee Pritts, Mike Dixon and Cory Ace.  All area high school coaches have been invited to attend the clinic and a Coaches Social afterward.   Clinic Fliers were sent out by email to everyone on the PWA email distribution list.

Fliers
New tri-fold fliers for the Virginia Duals Wrestling Club were given to all attendees.  The fliers include lists of Mike Dixon’s and Corey Ace’s credentials, the PWA Mission Statement, a brief history of the Peninsula Wrestling Association, a list of High School State Champions who were PWA members and Contact Info for our Head Coach, Assistant Coach, Club President, Club Vice President and Team Leaders.  Mike will be giving them out at the high schools when he visits, and they will also be made available at local tournaments.

The income from the program was $5215.00 and the cost of the program was $5699.50 so we need to do something to get more income from the program.  Ad Contracts were emailed to everyone on the PWA email distribution list, asking them to help us get ads for the program.  Ad copy and money needs to be turned in by the end of November.  They can be given to Gloria or John at any wrestling practice.

VA Duals Committees
We still need someone to take over as Chairman of Security.  Everything else is covered.

The web site is coming along.  The online Virginia Duals History has been completed.  Minutes from January through May have been uploaded.  The lists of teams participating in the Duals are updated as we receive contracts.  We hope to have it set up for the teams to submit their rosters online, and to do the seeding online.  Dirk is working on programming these features for the website.

In our Treasurer’s absence, the Treasurer’s report was presented orally by our President, Bill Smith. As of July 18th, we had $78,572.07 in the bank.  We have $6268.00 in the checking account and $70,832.69 in a 9-month CD.  We also have $20,061.32 in the Money Market fund and $25.00 in the Olympic Training Fund.  We paid Poquoson High School our rent for the Fall Session and the Spring Session.  We deducted the cost of the blue foam pads we purchased and installed under the wrestling mats from the rent. 

Wrestling Clinic

If the tropical storm becomes stronger than expected before noon on Thursday, we will cancel practice for that night.  IF practice is canceled, we will notify everyone by email at noon on Thursday.  Anyone who did not get a copy of the Agenda for this meeting by email today needs to be added to the email distribution list.

VA Duals Committees
Bill distributed copies of the lists of Committee Chairmen, as well as Organizational flow charts for the tournament and division Directors and the committees who report to each of them.  We still need someone to take over as Chairman of Security.

Press Conference
The press conference for the 2006 Virginia Duals will be held at ODU at 11:00am on December 14th.  We hope that the Norfolk location will encourage more press coverage.

Program Ads
Bill distributed copies of the Program Ad Contract to everyone in attendance.  Ad copy and money needs to be turned in by the end of November.  They can be given to Gloria or John at any wrestling practice.

 Hotel Contract
We will use the Holiday Inn as our host facility.  We had considered using Embassy Suites as our host facility, but they do not have banquet facilities inside their building.  We would have to use the facilities in the Convention Center next door for our Social and After Duals party.

Minutes
Minutes from the May 10, 2005 were distributed and read.  The Secretary pointed out that the election results should have been included in the May Minutes, and promised to make this revision.  The minutes were approved, with this correction.

Treasurer’s Report
The Treasurer’s Report was unavailable.

VA Duals Committees
All Committee Duties are being documented for the Virginia Duals notebook.  We have lined up Chairmen for all our Committees, except for one. We need someone to take over as Chairman of Security because our former Chairman of Security has moved out of the area.

Web Site
The web site is coming along.  The online Virginia Duals History has been completed.  Minutes from past meetings will be uploaded soon.  The lists of teams participating in the Duals are updated as we receive contracts.  Other tournament information will be added as we get closer to January.

High School Teams
We have sent out all 48 contracts.  We have already received 13 high school contracts, along with entry fees for a couple of teams.  York has decided to withdraw from the Duals for this year.  

College Teams
All college contracts have been sent out, and all of them except for one have already come back in. 

Middle School Teams
We will have four middle school teams from different areas of Virginia in the Duals this year. 

Ticket Pricing
We have made some changes to our prices and our sessions for the 2006 Duals.  The Coliseum will add approximately $4.00 to each ticket to cover parking, local taxes, etc.

The big change comes on the Saturday tickets.  We used to have separate tickets for Saturday morning and Saturday evening, but it did not work since our schedule has become too tight to allow us to clear the Coliseum between sessions.  Too many people would buy a Saturday morning ticket and then stay for the evening session without buying a ticket for the evening session.  We hope to eliminate this problem by eliminating the Saturday morning (only) tickets.  All tickets sold before 4:00pm on Saturday will be All-Day tickets, and discounted prices will be available for tickets purchased after 4:00pm.

 Hotel Contract
We are negotiating with the new Embassy Suites by the Coliseum to possibly serve as our host facility.  Once we know what they can offer and how much they will charge, we will compare that to the deal that Holiday Inn offers us.  Information should be available at our next meeting. 

Virginia Duals Wrestling Club
The Board was disappointed with the way things turned out this year in our coaching partnership with ODU.  The Board wanted to go our separate ways.  Bill met with Steve Martin and Lee Pritts and they came back with another proposal because they want to continue the partnership.  Our coaches will be fulltime PWA Coaches and part time ODU coaches.  ODU is looking to hire another Assistant Coach.  Once they have made their decision, we will interview their new Assistant Coach and decide whether he meets our requirements for our Head Coach.  If we do not like ODU's choice, we are not obligated to hire him.

The Fall Session will begin when schools open and continue on Tuesdays and Thursdays from 6:30 to 8:30 through the first week of November.

Next Meeting
There are no meetings scheduled for July or August, so the next PWA meeting will be held at 7:00pm on Tuesday, September 13th at Poquoson Middle School.

Treasurer’s Report

The Treasurer’s report was distributed and read.  We have $16, 094.72 in the checking account; $10,037.00 in the Money Market fund; $70,000 in the CD, which will mature before the next meeting; and the Olympic Training Fund is down to $0.00.  The Treasurer will check into rates for rolling over the CD. The Treasurer’s report was accepted.

Website Report

The new web site is up and going.  The lists of teams in the Duals are being updated as the contracts come in.  With Jason Bryant as our Webmaster, the website will continue to get better and better.  VA Duals history, the lists of Board Members, Staff and Volunteers, are now available online.  Pictures will be added soon.

2006 VA Duals

January 13 & 14 will be the dates for the 2006 Duals.

We have locked in the Announcers and the College Officials early because the National Duals has changed their date to conflict with ours and we wanted to make sure we get the best announcers and officials.

Bill is in the process of checking with past committee chairpersons to see if they are willing to serve in the same capacity for 2006.  So far, the only committee chair who will not be back next year is Rob as the Security Chairman.  He is moving out of the area.

A lot of high school teams have requested to participate, including several new out of state teams.  Mike has contracts ready to send out to 16 teams for the Black and Blue Division, 16 teams for the American Division, and 13 teams for the National Division.  The contracts spell out the fact that each team is responsible for paying the $400 entry fee and finding their own sponsor to pay an additional $200.

The American College Tournament will be an 8-team tournament South Dakota State, Duquesne, and the Apprentice School have already committed. 

The National College Tournament will include Bloomsburg, Chattanooga, Columbia, Drexel, Indiana, North Dakota State, ODU, Ohio State, Rider, UNC, UVA, VA Tech and West Virginia.

We will continue with a 4-team Middle School Tournament.  One team will be the VA Duals Club team.  We will probably go with 4 teams from different areas of Virginia.  It is hoped that the Middle School teams will bring more paying spectators.


Virginia Duals Wrestling Club

John Swartz handed out written reports on the activities and results of the VA Duals Wrestling Club. Fifty-seven kids have registered, but attendance averages 25 kids or less per night, and less than 10% of the kids who are registered have participated in any wrestling tournaments.  Some of the kids have not won a match yet.  We do fairly well wrestling against kids from the Southside, but Richmond area kids and kids from Northern Virginia are cleaning our clocks.  Several people offered suggestions on ways to improve participation among the club members. 

Old Business

Kathy has completed invoicing all uncollected 2005 VA Duals Major Sponsors, Team Sponsors, Ads and Entry Fees.  Next year, if Entry Fees have not been paid two weeks before the tournament, the team will not be allowed to participate in the Duals. 

New Business

Brute dropped out as a Major Sponsor.  They had been paying $2000.00 to sponsor one division at the VA Duals each year.   We need to find another Major Sponsor.

Virginia Duals Wrestling Club

Virginia Duals Wrestling Club started practice on March 22, 2005, and continue at 6:00 to 8:30 on Tuesdays and Thursdays until the end of July.  Forty kids have already registered.  We are expecting about 6 more next week.  The Club participated in one tournament and did very well.  First tournament results included two 2nds and two 3rds in Greco;  two 1sts , three 2nds , and a 3rd in Freestyle.  John Swartz and Bill Smith are looking into the possibility of renting a 15-passenger van to provide transportation for Wrestlers and Coaches to travel for out of town tournaments

FILA has announced a number of new Freestyle rules, but the only new rule that has been implemented in local tournaments in Virginia this year is the “Push-Out” rule.

Virginia Duals History

John Swartz has finally completed assembling the Archive of Virginia Duals History for the website.  He has results of every meet ever wrestled at the Virginia Duals.  It will be available on the website when everything is switched over.

Old Business

Virginia Duals Wrestling Club

The contract for the use of the Wrestling Room has been signed with the rent remaining at the same level as last year.

Virginia Duals Wrestling Club will start practice on March 22, 2005, and continue until the end of July. We will wrestle 6:00 to 8:30 on Tuesdays and Thursdays, but we may have two sessions if the numbers warrant it. If two sessions are needed, the younger kids will wrestle during the first hour, and then the older kids will wrestle for the remainder of the time.

Cory Ace is working with Claudia on a schedule of the tournaments that the VA Duals team will go to.  They have been asked to concentrate on non-local tournaments.

The idea of the PWA offering a wrestling clinic by a well known college coach is being discussed, but nothing has been set up so far.  It would probably be by offered to the PWA kids only.

Virginia Duals Ticket Sales

Bill distributed a report of the Virginia Duals Attendance and income from ticket sales for 2004 and 2005.  In 2003 – 3091 tickets sold for $21,394.66; in 2004 – 2563 tickets sold for $23,373.36; and in 2005 – 2529 tickets sold for $25,484.07.  The rates for the different sessions were discussed.  It was pointed out that very few people buy tickets for the Finals because most of the spectators just buy a ticket early on Saturday and remain in their seats until the Finals are over.  The idea of clearing the Coliseum between the sessions on Saturday was discussed.  Other options included raising the fee for an all-day Saturday pass, with a discount after a certain time (4:00pm or 5:00pm).

The PWA wants to host a clinic for all the Bay Rivers and Peninsula District coaches, as well as a statewide meeting for USA Wresting Freestyle coaches.  This would be separate from the VHSL Rules Clinic that high school coaches are required to attend each year.

Bruce Shumaker replaced Nancy on the board and will represent the Williamsburg area.

 

New Business

Virginia Duals Wrestling Club will start practice on March 22, 2005, and continue until the end of July. We will wrestle on Tuesday and Thursday, but we will have two sessions. The younger kids will wrestle during the first hour, and then the older kids will wrestle.

PWA now has a storage unit for PWA/VA Duals equipment (clocks, signboard stuff, etc.).

Clocks

It would cost approximately $1000 each to add the Advantage Time module to a Daktronics clock.  We might want to consider buying these modules for the clocks we borrow in exchange for a promise to lend them to us when we need them.

Computers

The computers that were used at the Duals were donated to the PWA.  We can lend them to someone who needs an extra computer, with the stipulation that we get them back to use during the Duals next year.

Programs

We sold 643 programs.  That was a little more than half of what we printed.

Naval Academy

It would be really nice if we could bring in the Naval Academy or one of the other armed forces academies into the National College Tournament. We should try to get two of the armed forces academies to wrestle in the Duals.   It would sell a lot of tickets.

Virginia Duals History

John Swartz asked to have people send him any old Virginia Duals data that they may have on hand, so he can compile a more complete Archive of Virginia Duals History.

The Treasurer’s report will be postponed until the February meeting because our Treasurer, Kathy Robinson’s father passed away and the viewing is tonight.

 

VA Duals

Plans for Virginia Duals 25th Anniversary Celebration party are complete.  It will be held on Thursday night, at the Holiday Inn from7:30 to 11:30pm.  We will have a live band – Gator.  We have budgeted $6500 for the party.

We will run 10 mats.  Mats can be moved in on Tuesday, if we want to.

High School teams are all set.  They have been broken down into the 3 divisions.  The seeding meeting will be at 11:00am Thursday.

College teams are all set.  The seeding meeting will be at 5:00pm on Thursday.

Middle School teams are set.  We are hoping to get their rosters in as soon as possible.  We will print a mini-program for the Middle Schools on the Monday before the Duals.

Coliseum Setup

Jim Casey has a group of trailers and drivers lined up to haul mats to the Coliseum.  Bill Smith is coordinating with Steve Martin to have the ODU JV team there to help with setup.

The Bracket Banners look good.  They will be ready on Friday, January 7th.

Liz West is handling the Program Ads.

Lee Coon is in Richmond and could not get back in time for the meeting, but everything is moving along for the Hospitality Room.  Dee is working on scheduling the volunteers. Food donations are coming in.  Jim is donating1440 crabcakes for the Hospitality Room. We are getting 50 dozen doughnuts from Krispy Kreme.

Clocks

Jim has arranged to borrow 4 Daktronics clocks from Northern Virginia.  These do not have riding time, but we do not need riding time for high school or middle school mats.  We will have 11 clocks

Fruit baskets

Jim asked if it is worth the trouble and expense to continue with the fruit baskets.  It runs about $1800 each year, and some of them are never delivered because we do not know where the team is staying.  We voted to discontinue the fruit baskets.

Things are coming together for the seafood bash on Saturday night.  The Holiday Inn will keep the party room open until 2:00am.

The Wrestling Broadcast people are willing to make a tape of “The Making of the VA Duals” from start to finish for us in exchange for being allowed to tape the Semis and Finals and sell those dvds online.

Name Signs

The new Name Signs will display the wrestler’s name and weightclass will on a 9’ tall PVC pipe at the end of the table.  Team names will be printed on both sides of a sign, which will be attached to the crossbar.  Wrestler’s names will be written on both sides of a 6 x 24” whiteboard, which will also attach to the crossbar.

Security

Alphabetized Volunteer Lists need to be turned in to Rob no later than Thursday morning.

Mat Accessories

Bill ordered 40 sets of anklets 6 sets of replacement numbers and 2 cases of mat tape.  Dido has some stopwatches, but we need 5 more.

The new VA Duals mat has arrived, and is currently undergoing Resilite’s recommended “curing” process.

The Press Conference will be held on December 15th

The Grand Marshall will be John Purnell from Brute.
